About This Role
About the Role: GEMS Metropole Al Waha is looking to hire a skilled HR Manager who has a proven track record in overseeing HR functions within an educational environment. This includes areas such as recruitment, onboarding, employee relations, engagement, and managing the entire employee life cycle. The HR Manager will report directly to the Principal/CEO and will functionally collaborate with the School Support Centre and HR Business Partner. In this role, you will oversee daily operations and ensure effective administration of HR policies, procedures, and programs.
Key Accountabilities:
The HR Manager will serve as the primary contact for all school staff regarding HR issues, covering the complete employee life cycle.
Recruitment and Onboarding:
- Support the Principal/CEO with the recruitment process for all positions within the school.
- Work closely with the HR recruitment team at the School Support Centre for teaching roles, completing all necessary administrative tasks associated with the teacher recruitment process.
- Oversee the entire recruitment process for non-teaching roles, including job postings, candidate shortlisting, screening, interview arrangements, and maintaining communication with candidates throughout the process.
- Prepare employment contracts via D365 in accordance with GEMS policies and UAE Labour Law regulations.
- Coordinate the Ministry of Labour offer letter and employment contract preparations with the designated Government Relations staff member.
- Collaborate with the MSO to arrange travel for new employees and maintain ongoing communication with new hires, including sending a Welcome Email and Handbook, addressing inquiries, and conducting onboarding sessions.
- Process all new hire documentation, including bank account forms, medical insurance applications, and access card requests.
- Design and facilitate new employee orientations to clarify school policies, compensation, and benefits programs.
HR Operations:
- Manage and support the daily operations of all HR-related activities within the school.
- Oversee the administration of HR policies, procedures, and programs, providing guidance and follow-up as needed.
- Maintain an organized filing system for employee records, ensuring both soft copy and electronic versions are current and comprehensive.
- Administer and clarify benefits to employees, acting as the liaison between staff and insurance providers.
- Generate NOCs, salary certificates, and salary transfer letters in English and Arabic, utilizing D365 in a timely manner.
- Develop and maintain the HRIS database, including employee records and files.
- Update the employee handbook as necessary.
- Collaborate with the ERP project team to provide insights on HR systems, policies, and requirements.
- Monitor the approval process for any required signatures from other departments or D365 system approvals.
- Produce reports from D365 as needed by school management or as requested by the HR Area Manager/HR Cluster Lead.
- Draft routine correspondence, letters, and memos as needed by management.
- Assist in preparing statistical summaries and reports for both the school and GEMS Corporate office.
- Participate in staff meetings and serve on committees as required.
- Collaborate with other School HR Officers in a constructive and solution-oriented manner, sharing best practices and positive working methods.
- Complete ad-hoc HR projects as necessary.
Employee Relations:
- Facilitate the resolution of specific policy-related issues and inquiries.
- Conduct research and investigations into employee relations matters as requested by Management.
- Support HR Area Managers and Cluster Leads with employee relations concerns as necessary.
- Advise school management and staff on compliance with UAE Labour law regulations.
- Act as the first point of contact for all employee relations inquiries, providing guidance and support as needed.
- Serve as a positive role model for all staff, championing engagement and collaboration.
