We are seeking an energetic, organized, and enthusiastic School Receptionist to join our esteemed administrative team. This role is a response to our strategic growth driven by increasing student enrollment. The chosen candidate will oversee the front desk at our secondary school on the main site while undertaking various administrative and clerical responsibilities. The ideal applicant will exhibit motivation, possess strong interpersonal abilities, demonstrate IT proficiency, be fluent in English, and excel at managing multiple tasks in a fast-paced environment.
Candidates must currently reside in Dubai, United Arab Emirates.
Receptionist responsibilities include:
- Welcoming visitors at the front desk, greeting, directing, and announcing them appropriately.
- Managing incoming phone calls, screening them, and directing them to the relevant personnel or department. Taking accurate messages when needed and relaying information to the appropriate stakeholders promptly.
- Providing accurate answers to common inquiries as the first point of contact for all parent, staff, and visitor questions.
- Offering administrative support throughout the organization.
- Responding to emergencies swiftly and efficiently while optimizing office operations.
- Keeping the reception area tidy and well-stocked with necessary supplies (e.g., pens, forms, brochures).
- Delivering accurate information in person, over the phone, and via email.
- Receiving, sorting, and distributing daily mail and deliveries.
- Ensuring office security by following safety procedures and managing access through the reception desk (monitoring the logbook and issuing visitor badges).
- Performing clerical reception duties, including scheduling tours, disseminating information accurately, and assisting parents with inquiries effectively.
- Managing students arriving late or leaving early during the day.
- Overseeing the absence mailbox by entering data into iSAMS (school information management system), responding to parent emails, communicating with teachers, and accurately recording absences, which may involve coordination with team members for families with multiple siblings.
- Assisting with lost property issues.
- Supporting admissions with new parent access passes and other required administrative tasks.
- Managing and responding to reception email addresses, ensuring timely addressing and filing of emails.
Essential Requirements and Skills:
- Proven experience as a Receptionist or in a similar role.
