About This Role
We are in search of a professional and well-organized Executive Assistant to the Principal who will deliver high-level administrative support within our dynamic school environment. This crucial position demands outstanding communication, time management, and problem-solving abilities to facilitate the efficient operation of the Principal’s office.
Key Responsibilities:
- Serving as the primary point of contact within the school for staff, LAB, GEMS Education, KHDA, parents, and others seeking to connect with the CEO of the School.
- Assisting the CEO in managing administrative tasks, coordinating daily events, and following up on required actions.
- Overseeing complex diary management for the CEO, scheduling appointments and meetings as needed, and ensuring the CEO is fully briefed with relevant documents.
- Compiling and preparing necessary papers for CEO meetings, generating reports, and responding to information requests. Ensuring that the CEO has all relevant materials for the following day’s meetings and any necessary directives beforehand.
- Organizing various weekly meetings and ensuring that action items from these meetings are addressed by the appropriate individuals within the agreed timelines.
- Acting as a liaison between the CEO and various organizations to enhance communication and maintain relationships, which includes processing correspondence and completing applications and forms as required.
- Participating in weekly Senior Leadership Team meetings and related gatherings; preparing agendas, taking minutes, and distributing information to the Senior Leadership Team.
- Coordinating the drafting and dissemination of the CEO’s letters and other correspondence with local authorities, parents, guardians, and the community, as well as contacting other individuals engaged with the school.
- Managing the record-keeping of the master school complaint log to ensure timely follow-up actions by the designated staff member.
- Collaborating with other GEMS Education Schools and the Corporate Office.
- Upholding a high level of confidentiality concerning staff and student matters, responding with tact, sensitivity, and awareness to pupils and parents as part of the role.
- Coordinating key events and managing VIP visits related to the CEO's office, including logistics, catering arrangements, and welcoming visitors.
- Sorting and prioritizing incoming mail and filtering phone calls and emails before forwarding them to the CEO and the wider Senior Leadership Team as necessary.
- Arranging travel and accommodation for the CEO, researching and creating travel plans and itineraries as required.
- Making phone calls as directed by the CEO and following up on resulting actions.
- Processing purchase requisitions, reconciling payment receipts, and handling reimbursement claims for the CEO when necessary.
- Overseeing the CEO’s office, including monitoring and delegating appropriate tasks.
- Organizing and prioritizing daily workloads independently with minimal supervision from the CEO.
- Managing any ad hoc projects assigned by the CEO.
- Supervising the CEO’s office administrator to ensure comprehensive administrative support for the CEO.
- Implementing safeguarding procedures within the School.
- Performing additional duties as reasonably requested by the CEO of the School or a delegated representative.
