About This Role

We are seeking an exceptional Executive Assistant to join our vibrant and driven team at GEMS Jumeirah Primary School in Dubai. This is an extraordinary opportunity for a dedicated and highly efficient assistant to make a meaningful impact in a school celebrated for its inclusive and outstanding educational offerings, ensuring that every child has the opportunity to excel.

The Executive Assistant to the Principal will oversee all assistant and administrative tasks as instructed by the Principal, playing a vital role in supporting both the school and the Senior Leadership Team (SLT).

Key Responsibilities:

  • Uphold and promote the ethos and standards of excellence as outlined in the GEMS Core Values.
  • Ensure high-quality communication from the school office and within the school community.
  • Engage with school staff, parents, and representatives from the GEMS SSC with tact and diplomacy.
  • Provide comprehensive administrative support to the Principal and the broader Senior Leadership Team, facilitating effective communication and coordination throughout the school.
  • Manage the Principal’s calendar, appointments, correspondence, and documentation, ensuring accuracy, confidentiality, and timely follow-ups.
  • Maintain efficient communication pathways, liaising diplomatically with staff, parents, students, and GEMS SSC representatives.
  • Gather information from various sources to produce reports; prepare, compile, and distribute weekly, monthly, and annual reports as necessary.
  • Organize and coordinate office management tasks and oversee school events in partnership with the Parent Relations Executive.
  • Collaborate with various departments and key personnel to ensure consistency in administrative practices and adherence to school policies and procedures.
  • Ensure compliance with GEMS policies, procedures, and codes of conduct at all times.
  • Demonstrate initiative and commitment beyond standard working hours when required by tasks.
  • Attend staff meetings and participate in committees as needed.
  • Carry out additional responsibilities as assigned by the Principal.

Skills:

  • Previous experience in a PA/EA role within the UAE is preferred.
  • Possess outstanding written and verbal English skills, including excellent telephone etiquette.
  • Demonstrate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant administrative tools (such as Canva, or similar).
  • Exhibit strong presentation skills and the ability to communicate effectively with stakeholders.
  • Display excellent organizational skills and a keen attention to detail.
  • Possess outstanding communication and interpersonal abilities.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Ability to multitask and manage peak demands effectively.
