We are on the lookout for a proactive, organized, and enthusiastic School Receptionist to enhance our esteemed administration team. This position arises as part of our strategic growth in response to increasing student enrollment. The selected individual will manage the front desk at our secondary school located on the main site, alongside performing various administrative and clerical tasks. The ideal candidate will be highly motivated, possess strong interpersonal skills, demonstrate IT proficiency, be fluent in English, and excel at multitasking and prioritizing in a dynamic environment.

Candidates should already be living in Dubai, United Arab Emirates.

Receptionist responsibilities include:

Welcoming visitors at the front desk, greeting, directing, and announcing them appropriately.


Handling incoming phone calls, screening them, and directing to the relevant personnel or department. Taking accurate messages when necessary and relaying information to the appropriate stakeholders in a concise and timely manner.


Confidently providing accurate answers to frequently asked questions as the first point of contact for all parent, staff, and visitor inquiries.


Offering administrative support throughout the organization.


Addressing emergencies promptly and efficiently while optimizing office operations.


Ensuring the reception area remains tidy and well-stocked with necessary supplies (e.g., pens, forms, brochures).


Delivering accurate information in person, via phone, and email.


Receiving, sorting, and distributing daily mail and deliveries.


Maintaining office security by adhering to safety procedures and managing access via the reception desk (monitoring the logbook and issuing visitor badges).


Carrying out clerical reception duties, including scheduling tours, disseminating information correctly, and assisting parents with inquiries as effectively as possible.


Managing students arriving late or leaving early during the day.


Overseeing the absence mailbox by entering information into iSAMS (school information management system), responding to parent emails, communicating with teachers, and accurately recording absences. This may involve coordination with team members regarding families with multiple siblings.


Assisting with lost property issues.


Supporting admissions with new parent access passes and other administrative tasks as needed.


Managing and responding to reception email addresses, ensuring emails are addressed and appropriately filed in a timely manner.

Essential Requirements and Skills:

Demonstrable experience as a Receptionist, Front Office Representative, or in a similar position, with a minimum of two years in such roles. Experience in a school setting is a significant advantage.


Proficient in Microsoft Office Suite and Google Suite – this is a fundamental requirement.


Familiarity with iSAMS is a distinct advantage.


Knowledge of SchoolsBuddy is a definite plus.


Practical experience with office equipment.

Education:
In accordance with regulations, candidates must have a minimum of a High School education or a degree.
