About This Role
The Attendance Officer plays a vital role in assisting the Senior Leadership Team by ensuring that the school management information system (MIS) maintains accurate and current records of students. The primary goal is to enhance student achievement, particularly focusing on attendance, through high-quality:
- Administration, organization, and support of attendance, admissions, and student data systems, adhering to the latest regulations, procedures, and deadlines set by external bodies such as the KHDA and MOE.
- Proactively promote the utilization of attendance and admissions data among all staff.
- Guarantee that all pertinent attendance, admission, and student data is readily accessible and up to date within the school management information system (MIS).
- Provide support to the Assistant Principal as needed regarding Examinations and Assessment Data.
- Ensure the accuracy and timeliness of all relevant attendance, admission, and student data on the MIS.
- Maintain student record folders and files, and manage the transfer of student files from previous or new schools.
- Verify that all student data is precise and current.
- Process student applications and collaborate with Vice Principals and Assistant Vice Principals to ensure timely processing of all applications.
- Confirm that all registers are duly completed and follow up daily regarding reasons for absences or missing registers.
- Assist in supervising students upon arrival, monitoring late arrivals, updating late detention records, and handling parent communications regarding student absences.
- Collaborate with the Behaviour and Inclusion Team regarding student absences and execute referrals as directed by Senior Leadership Team members.
- Support all aspects of internal and external examinations as needed.
- Generate attendance and admissions reports for the Academy and respond to data requests from the Data Manager, Senior Leadership Team, and other support staff as necessary.
- Deliver timely and accurate information in accordance with the agreed Academy plans and schedules, including any relevant reports.
- Provide a professional and customer-oriented service to staff, students, and parents/carers concerning all attendance and admissions inquiries, issues, and data.
- Adhere to Academy policies and procedures regarding child protection, health, safety and security, confidentiality, and data protection, reporting any concerns to the DSL.
- Contribute positively to the Academy's ethos, aims, and development/improvement plan.
- Perform any additional duties as assigned by the Senior Leadership Team members.
- Prepare student information and assist in organizing Progress Review Days, Transition Evenings, Parents' Evenings, Termly reports, and Curriculum Evenings.
- Engage in personal development through training and other learning opportunities, including performance management as required.
- Recognize personal strengths and areas of expertise to advise and support others effectively.
- Maintain an agile approach to work, understanding that organizational priorities may evolve.
- Serve as a positive role model for students in terms of dress and conduct within the Academy.
