Position Overview:

Job Purpose
The role involves facilitating and coordinating all secretarial and administrative duties to ensure the efficient operation of the Elementary School office. The secretary will serve as a representative of the school and will execute all responsibilities in an efficient, professional, and confidential manner.
Job Scope
The individual will oversee all secretarial activities within the Elementary School office.
Key Responsibilities:
- Promote and exemplify a culture of kindness in alignment with the GEMS/DAA core values, while embodying the school’s mission and ethos.
- Act as a representative for the school, performing all tasks efficiently, professionally, and with discretion. Proactively identify opportunities to enhance systems and processes to boost efficiency and effectiveness.
- Ensure high-quality communication within and from the school office. Communicate with tact and diplomacy with school staff, students, parents, and visitors.
- Oversee all secretarial responsibilities within the Elementary School office.
- Manage and respond to daily office emails and phone calls.
- Carry out a variety of general secretarial tasks, including maintaining precise and detailed records, databases, and filing systems.
- Support the Line Managers by managing their appointment calendars and handling all professional communication and public relations needs.
- Compile information from diverse sources to create reports; prepare, collate, and distribute weekly, monthly, and annual reports as necessary.
- Assist in training and supervising the work of temporary secretaries, student assistants, and other clerical staff.
- Review and update all documentation, calendars, and school-related activities. Organize and coordinate office management tasks and oversee school events, ensuring effective communication with faculty, staff, parents, and students.
- Maintain office supply inventories. Order, store, and distribute supplies and materials relevant to the assigned functions.
- Ensure adherence to GEMS policies, procedures, and codes of conduct at all times.
- Answer telephone calls and inquiries with courtesy, directing calls to the appropriate school personnel.
- Collaborate with other secretaries to foster a positive team environment.
- Address parent concerns promptly and professionally.
- Provide information regarding school programs, events, functions, activities, exams, and schedules.
- Demonstrate commitment by going beyond typical work hours when necessary to complete tasks.
- Participate in staff meetings and serve on committees as needed.
- Perform additional duties as assigned by direct and dotted line managers/supervisors.
