About This Role

Job Description

GEMS Education is looking for a skilled and passionate Parents Relations Executive to become a vital part of our team. This role involves supporting the principal in fostering a vibrant and engaged parent community, which is fundamental to our school culture. You will play a key role in achieving enrolment goals, delivering exceptional customer service to both new and current parents, and aiding in the marketing and promotion of the school to relevant stakeholders.

Responsibilities include coordinating and guiding school tours for prospective parents and visitors, effectively showcasing the school’s unique selling points to ensure that enrolment targets are met or exceeded. You will manage the Front of House/Reception area daily, ensuring that high-quality customer service is provided to all parents at every interaction point. Additionally, you will oversee the continual enhancement of the school's communication channels, including newsletters, to keep the parent community informed about school activities, thereby supporting customer and student retention.

You will organize events for parents and the community, encouraging participation in school activities and celebrations, as well as backing the school’s parent engagement initiatives. Promoting the school through the creation of stories and visual content that highlight academic and other achievements will be part of your role, contributing to GEMS internal newsletters and various communication platforms (like the school website, LCD screens, and newsletters) in both English and Arabic, if necessary.

When needed, you should work closely with the School Principal/CEO, Senior Leadership Team, and other Front of House staff to devise and implement strategies for retaining enrolment numbers in line with budget expectations. Conducting regular surveys to gather feedback from new parents regarding the enrolment process and other pertinent topics is essential, followed by compiling responses and providing analysis with recommendations.

In collaboration with the School Principal/CEO and the Corporate Marketing team, you will assist in crafting and executing the school marketing strategy, which is crucial for driving enrolments, ensuring that all marketing materials, including digital communications, are current. Together with the School Principal/CEO and the Registrar, you will also create an events calendar to facilitate enrolment activities throughout the academic year.

It’s important to adhere to GEMS policies, procedures, and codes of conduct consistently. You will maintain clear communication with existing parents to ensure their concerns, complaints, and feedback are addressed effectively, efficiently, and promptly, coordinating with other school personnel or departments as necessary. When suitable, you will promote other GEMS schools by arranging meetings and fostering relationships between parents and these schools. Attendance at project and staff meetings and participation in committees as required is also part of your responsibilities.

Qualifications & Experience

A college degree from a recognized university (BA or BSc) is preferred. You should have at least two years of experience in a customer service-oriented role, with a demonstrated track record of achieving sales targets; the ability to motivate the team to consistently deliver high-quality results is crucial. Experience in relationship management is important, allowing you to cultivate and influence professional relationships with both colleagues and the parent community. Strong written and verbal communication skills are essential, along with interpersonal abilities to navigate a diverse environment.

Skills

You must possess excellent time management skills and the capacity to multi-task, especially during busy periods. An advanced proficiency in Microsoft Office and the ability to leverage technology to present data effectively to management is expected. You should be capable of managing the performance and relationships of a diverse team, with strong analytical thinking skills.
