Purpose of role: Managing Front of the Office
This job description serves as a general outline of the position; duties may evolve within this framework according to the level of responsibility and tasks that senior management may reasonably assign to the post holder.
Professional Duties
• Welcome new parents.
• Request completion of a "parent enquiry form."
• Conduct school tours when possible.
• Process new enrolments from parents, entering them into the admissions system accurately, and create appropriate files for them.
• Coordinate assessments with teachers or through the CAT4 website as necessary (different classes may have varying assessments) and ensure that relevant teachers are informed about these assessments.
• Collaborate with Heads of School regarding student acceptance.
• After acceptance, send a follow-up email to summarize the discussion. Heads of School are to respond, after which the communication should be printed and added to the student’s file.
• Draft acceptance letters, obtain signatures and stamps, then scan and send them to parents.
• Update the family contact sheet and the staffroom system with new students’ information, including scanning documents for staffroom records.
• Prepare leaving certificates and no objection letters for all departing students, ensuring that a copy is made and filed in the admissions office.
• Verify with accounts that departing students’ accounts are settled, and obtain their signature on the departure checklist.
• Inform parents when the leaving paperwork is ready for collection. Upon collection, have them sign and file the departure checklist.
• Arrange trials for students with low CAT results or those identified as needing additional support—coordinate with the Head of Learning Enrichment Department, teachers, and parents to find a suitable time for all involved. Once trials are completed, follow up with everyone regarding the outcomes, meet with the Principal to discuss results, and schedule follow-up meetings with parents.
Miscellaneous
• Send reminders for duties.
• After all registers are finalized in the school system, print the absent list for the fire folder.
• Keep the file folder updated—correct student registers for staff.
• Daily print the list of students taking the bus, marking who is absent, to provide to teachers on bus duty at the end of the school day.
• Support the Principal with daily administrative tasks.
• Schedule appointments for SLT members as needed.
