Job Purpose: The role involves facilitating and coordinating all secretarial and administrative tasks to ensure the effective operation of the Elementary School office. The individual in this position serves as an ambassador for the school, executing all responsibilities with professionalism, efficiency, and confidentiality.
Job Scope: The secretary will oversee all secretarial tasks within the Elementary School office.

- Serve as a representative of the school, performing all duties efficiently, professionally, and confidentially.
- Proactively seek to enhance systems and processes for greater efficiency and effectiveness.
- Maintain high-quality communication both from and within the school office.
- Engage with school staff, students, parents, and visitors with tact and diplomacy.
- Manage all secretarial operations of the Elementary School office.
- Handle daily office emails and phone calls.
- Perform a variety of general secretarial tasks, including keeping accurate records, databases, and filing systems.
- Maintain the Line Manager’s appointment calendar and manage all related professional communications and public relations needs.
- Gather information from different sources to prepare reports; organize, compile, and distribute weekly, monthly, and annual reports as necessary.
- Assist in training and supervising temporary secretaries, student assistants, and other clerical staff.
- Review and update all documentation, calendars, and school-related activities.
- Organize and coordinate office management tasks and oversee school events.
- Relay information to faculty, staff, parents, and students.
- Keep track of office supply records.
- Order, store, and distribute supplies and materials relevant to the assigned functions.
- Ensure adherence to GEMS policies, procedures, and codes of conduct at all times.
- Respond to phone calls and inquiries courteously, directing calls to appropriate school personnel.
- Collaborate with fellow secretaries to foster a positive team environment.
- Address parent concerns with the aim of resolving them promptly and professionally.
- Provide information regarding school programs, events, activities, examinations, and schedules.
- Exhibit initiative and dedication beyond the standard workday when tasks demand additional effort.
- Attend staff meetings and participate in committees as required.
- Carry out additional duties as requested by direct and dotted line managers/supervisors.
