About This Role

We are seeking an exceptional Admissions Secretary to become part of the team at GEMS International School. This is a thrilling opportunity for an educator who is enthusiastic and ready to play a role in the academic achievements of our students. GEMS International School, Al Khail, launched in September 2013, as a premier institution offering the International Baccalaureate (IB) program.

Job Purpose

To create a welcoming environment and provide new parents and students with a positive initial impression of the school by showcasing the curriculum and accomplishments. You will be responsible for organizing and managing the student admissions process, as well as maintaining records and files for all current and prospective students.

Job Scope

Your role will involve assisting with the admissions process for students wishing to enroll in the school.

Internal & External Interaction

You will interact with both the school and corporate office staff, as well as prospective and current parents and students.

Key Accountabilities

  • Uphold and promote the ethos and standards of excellence as outlined in the GEMS Core Values.
  • Familiarize yourself with the regulations of the Ministry of Education and ensure adherence throughout the admissions process.
  • Collaborate closely with the School Compliance Officer to verify that all Transfer Certificates for new students comply with Ministry of Education requirements and are processed promptly to meet KHDA deadlines.
  • Meet with prospective parents to explain the admission process, curriculum details, fee structures, and KHDA regulations. Provide support to ensure all admissions documentation is accurately completed.
  • Respond courteously and promptly to all enrollment inquiries via phone and email.
  • Assist current students with Verification of Enrollment and other requested letters.
  • Prepare reports for the School Principal/CEO and the Corporate Office regarding current enrollment figures, waiting lists, and the status of available seats. Additionally, supply statistical reports on student demographics (nationalities, age, gender, etc.) as needed.
  • Update, maintain, and manage the student information Salesforce database to ensure daily access to current information. Maintain communication with other GEMS schools' Admissions Managers in similar markets and redirect prospective parents to alternative schools if the chosen school is at full capacity.
  • Create and maintain files for all new applicants, new students, current students, and those exiting the school.
  • Adhere to all GEMS policies, procedures, and codes of conduct consistently.
  • Demonstrate initiative and commitment beyond typical work hours when tasks require extra effort.
  • Attend staff meetings and participate in committees as needed.
  • Carry out other duties as assigned by direct and dotted line managers/supervisors.

Skills

Qualifications / Knowledge:

A College Degree is preferred.

Skills:

  • Proficient written and spoken English language skills.
  • Strong interpersonal skills to effectively engage with a diverse, multicultural population.
  • Excellent computer proficiency (Word, Excel, PowerPoint).

Experience:

A minimum of two (2) years in a customer-focused role.

GEMS Education is dedicated to ensuring the safety and well-being of all its students and staff. A UK-enhanced DBS or an equivalent police check is a prerequisite for all appointments.
